SK6 Spinners Committee Roles (Feb 2024)

Chair

  • To be a visible figurehead for the club.

  • Act as a spokesperson for the club when required; eg in the media and public forums.

  • To build and maintain links with other local cycling, sporting and locals clubs and organisations/businesses.

  • To provide a vision and purpose for the club, ensuring it stays true to its original principles while constantly developing and evolving according to members needs and input.

  • To play a lead role in driving forward the organisation and execution of a programme of key events, such as social evenings, track sessions, and other non-cycling events.

  • To deal fairly and promptly with transgressions of club rules or urgent issues that may arise, such as reviews of safety and procedure.

  • Chair regular Committee meetings and ensure progress is made on relevant issues.

  • Chair and host major club events, such as AGM and Presentation Evening.

  • To act as a signatory on the club bank account, working with the Committee and co-signatories to ensure robust and responsible management of finances.


Club Administrator

           

  • Co-ordinate committee meeting dates.

  • Prepare meeting agendas.

  • Raise proposals and motions from members at committee meetings.

  • Prepare committee meeting minutes.

  • Coordinate the annual AGM (nominations, motions/ proposals, proxy votes, deadlines, agenda, minutes).

  • Prepare the annual report of the committee.

  • Deal with enquiries on new memberships and renewals. Collate all information and keep records up to date. 

  • Liaise with the Treasurer on the collection of membership fees. 

  • Maintain and admin SK6Spinners club page on British Cycling.

  • Deal with enquiries on new memberships and renewals.

  • Liaise with the Treasurer on the collection of membership fees. 

  • Processing new memberships (including liaising with the Treasurer re payment)

  • Responding to membership inquiries.

  • Issuing membership cards to all members.

  • Keep auto response new member email up to date.

  • Dealing with annual renewal of membership and reminders.

  • Following up on any non-payment among active members, liaising with other members of the committee as appropriate.

  • Attending committee meetings 4-6 times a year, with regular reporting on membership numbers

  • Devising ideas to maintain and increase membership numbers.

  • Admin owner of the Strava group to enable members only.


Treasurer


The club treasurer is responsible for the management of the club finances.

This includes;

  • Maintaining a record of the club income and expenditure.

  • Overseeing and facilitating payments.

  • Keeping the committee members informed on the financial position of the club.

  • Preparing the annual accounts (to be available for the AGM).

 

Engagement Officer (can be a shared role)

 

  • Ensure the club has a frequent presence across multiple social media platforms. Actively promote the club to grow membership and organise club social events throughout the year.

  • Maintain the website.

  • Moderate comments and content on the website, Facebook, Instagram and Strava.

  • Post upcoming rides on Whatsapp.



Additional Support Roles / non-voting roles.

 

Ride coordinators

 

4 Roles in the following categories

  • Road Rides – e.g. Moderately paced rides averaging 30 60 miles, female only Rides, evening rides.

  • Endurance Rides – e.g. 100km+ Rides, The Punisher, C2C, TNC rides

  • Social Rides – e.g. Relaxed pace ride focused around a café stop, evening rides, adventurous rides.

  • Dirt Rides – e.g. Off-road routes, gravel, mtb or emtb group rides, varying in distance & pace.

 

Ride coordinators are responsible for ensuring the ride calendar has a range of ride options and lead riders identified for the upcoming quarter, and encouraging new ride leaders to volunteer.



Ride Leaders.


  • To sign up to lead rides, identify routes, start times, locations etc. 

  • Enter ride details on the SK6Spinners Teamup calendar.

  • To deliver a safety briefing, check ICE details and ensure helmets are worn, mudguards (winter season) are fitted, and manage the pace of the ride to suit the group.
